You do not replace an ERP in one weekend. That is why you switch with us in phases. First reading, then running in parallel, and only switching once the figures match. With a way back at every step.
THE APPROACH IN FOUR PHASES
Four phases. You decide at every step.
- Phase 1
Getting to know you and reading
We connect Arvect read-only to your current system, with your permission. We write nothing back. Within a few weeks you see your own figures in Arvect, and where the manual work is.
Outcome: An overview of your administration, your processes and what Arvect takes over. - Phase 2
Taking out the manual work
Arvect takes over the first tasks alongside your current system. Think of processing invoices, matching bank lines and preparing the month-end close. Your team already works with Arvect, your old system remains the source.
Outcome: Less manual work, while nothing changes in your books. - Phase 3
Running in parallel
Arvect and your current system run side by side. Each period we compare the results: balances, VAT and open items. Only when they match do we move on.
Outcome: Evidence, per period, that Arvect gives the same figures. - Phase 4
Switching
At a moment you choose, Arvect becomes the source. Your old system stays available for an agreed time for reference.
Outcome: One system, and an old system you can cancel.
THE WAY BACK
You can go back at every step.
Your data is yours. You export it at any time in an open format.
Every phase has its own approval. We do not continue without your yes.
WHAT YOU NOTICE
Your business simply keeps running.
Your team keeps working in the system it knows until Arvect is ready. We plan the switch around your year-end close and busy periods, not through them. You always speak with the same people.
WHAT IT COSTS, BROADLY
A fixed price per phase.
You know in advance what each phase costs. Phase 1 is small and quickly earned back: after that you decide whether to continue. You pay for setup once, and for use per user per month. You only cancel your current system once Arvect is the source, so you pay double for a short time. We include that in the proposal.
Frequently asked questions
How long does a switch take?
That depends on your administrations and processes. Phase 1 takes a few weeks. After phase 1 you receive a plan for the rest, with fixed prices.
Which systems can I switch from?
Among others AFAS, Infor, SAP and Exact. Another system? Then we start with a general import (CSV or SFTP).
What happens to my history?
We transfer your open items, opening balance and the history you need. What you only want to consult stays available in an export.
Who does the work?
We do, together with your finance team. No chain of consultants, but the people who build Arvect.
